If your journals have gone out of sync, it means one of 2 things have happened:
One of the transactions in your schedule has changed since you posted the journal - e.g. the schedule applied has been edited
Something has happened in your accounting file which has pushed one of your transactions back to the inbox - e.g. a credit note has been added or the details of the transactions have changed
In the case of point 1, we will turn the affected transaction gold in the schedule so you can quickly identify which transaction has changed, as you can see here circled in red:
You simply need to review the transaction and the schedule applied by clicking the edit icon next to the transaction details and then clicking the schedule edited badge:
Which will detail the changes made:
If you're happy, one click update the journal:
For point 2, when a transaction is edited in the accounting file or a credit note is applied, we will push this transaction back to the inbox. The schedule will then update to show it has gone out of sync but turning the affected month gold, like you can see here for Jan 2026:
But as you can see, no transactions are highlighted gold as they have been moved back to the inbox. This is your indication that you need to check the inbox. You'll find the affected transaction in the inbox with an edited badge like so:
And clicking that badge will inform you as to what has changed:
If you're happy the changes and the schedule applied make sense, you can reapprove and add it back to the schedule and then update the journal accordingly.
Similarly, if a credit note is added to a transaction, it will resurface in the inbox with the credit note attached and you need to let us know how you want both to be treated.
Schedule prior to credit being applied:
Schedule after credit applied:
Transaction resurfaced in inbox with the credit note attached:
And details of what changed:
Simply tell us how to treat the credit note and make any changes to the treatment of the original transaction as required, and reapprove to add it back to the schedule. Then one click update your journal and you're all done!
