How to approach creating a recharge rule

A simple way to approach setting up a recharge rule, with a worked expense example.

Written by Hein Van Zyl

This guide covers a simple way to approach creating a recharge rule, followed by a worked example.

Planning the rule

A few things to work through before you create a rule:

  1. Decide what you want to recharge.

  2. Use that to decide which of the four rule types you need: expense, revenue, balance sheet, or Mayday rule. See How to create and use Recharge Rules for a breakdown of each type.

  3. Create the rule in the entity you're recharging from. Within the rule, you'll specify the entities that will be recharged.

A worked example

Here's how you might approach an expense recharge.

In Mayday London HQ, you want transactions coded to "485 - Subscriptions" with the tracking category "Mayday Entities - Mayday Australia Opco" recharged in full to Mayday Australasia Opco. You'd create this as an expense rule, in Mayday London HQ, since that's where the cost sits.

On the New Expense Recharge Rule page:

  1. Set the recharge type to At cost, so the full transaction value is recharged.

  2. Choose Recharge specific expense transactions, and match all of the following: Account code is one of "485 - Subscriptions", and Tracking category is one of "Mayday Entities - Mayday Australia Opco".

  3. Choose Custom Apportionment and send 100% to Mayday Australasia Opco, posting to account code "485 - Subscriptions".

  4. Name the rule and save — for example, "01. Tracking Category: Mayday Australasia Opco Subscriptions".
