How to Import Opening Balances

Importing your opening balances

If you've previously been running your deferred revenue or prepayment process outside of Mayday, then you'll likely have some opening balances you need to import.

Simply head to the settings page for Deferred Revenue or Prepayments and click the Create Google Sheet button next to the Import opening balances section of the relevant entity:

This will open a modal explaining the process:

Click confirm and this will generate the google sheet in the background. Once the sheet is created the modal will close and a link to the google sheet will appear where the create button previously was:

If you follow the link this will open up the google sheet where you can input the required information.

It is up to you how you want to present this information - you can bulk everything together as one opening balance or include them line by line. Once the information is added to the sheet it will auto sync to the schedule in Mayday

You can edit these at any time by either following the link from settings, or directly in the schedule using the edit icon next to the relevant line or by clicking the google sheet icon.

Tips for using the google sheet

  • References can be whatever you want them to be - something general like "Opening balances" or something more specific such as "12 month annual contract with X". Whatever you use here is what will show up in your schedule

  • Fields B-F are required, G onwards are optional inputs

  • There are handy hints and tips in the column headers if you get stuck

Google Sheet FAQs

What if I am a Microsoft user, and/or don't have a Google account?

For security reasons, you need to authenticate to edit the sheet, and so will need a Google account. A free Gmail account will suffice. You can invite this email to your Mayday group (it doesn’t need to be a valid Xero or QBO login) and it will be given access to edit the sheet

Where does this google sheet live?

This lives in a protected folder in Mayday’s Google account

Who will have access to this google sheet?

All the users you invite to your Mayday group will be given access. Mayday’s support engineers will also have access to provide technical assistance

What if this google sheet gets deleted?

It can’t be deleted

Does the google sheet update with changes to account codes, tracking categories etc?

Yes, the account code and tracking category fields are updated on each sync to reflect changes in Xero or QBO
