How to use Mayday HQ to align the Chart of Accounts across your orgs

The Chart of Accounts page allows you to view and modify the Chart of Accounts in each org within your group. Once you've chosen an org to be Primary, Mayday HQ compares every other org to that Chart of Accounts in the Primary and shows you where they align and where they differ.

In the above example we can see three cases that Mayday HQ is highlighting:

  • Code 1000 from HQ exists in Australasia Holdings, but it's named differently and has a different type

  • Code 1002 from HQ doesn't exist in any of the other orgs, represented by the red box and cross

  • Code 610 is present in other orgs, so the box is green

We can easily resolve issues in a few ways:

  • We can click on a specific cell to resolve it. For instance, clicking on the yellow 1000 - Loan - Mayday Trust cell prepares that for us:

  • We can use the tools in the left-hand cells to auto-create accounts wherever they are missing:

Alternatively, we can edit an account everywhere using the pencil:

Clicking "Save Accounts" in the bottom-left will write all the changes and new accounts into Xero.

Creating new Accounts

Mayday HQ can be used to create a new account across all orgs in one go. First, choose the "Create new account" button in the top-right:

You can then fill in the details:

Hitting "Save Accounts" will create that new account in each of your Xero orgs.

Choosing a new Primary Org

At any time, you can change which org is the Primary using the option in the header row:

Doing this will automatically update the page and compare every org to the Chart of Accounts in that new Primary org.
